Meeting room booking software
In most business incubators, booking a room means emailing the community manager, or putting your head round her office door. She opens a spreadsheet, checks, replies. Thirty times a week.
On this page 8 sections
Synintra replaces that loop: your residents book for themselves, online, within the rules you set. It is the first thing our clients put live, and for many it stays the only use for months.
Set the rules once, room by room
Every room has its own constraints, and they are not alike. An eight-seat meeting room is not run like an auditorium. Room by room, you define:
- opening hours and days;
- the bookable slot length;
- hour quotas by day, by week and by month;
- the equipment on site (video conferencing, whiteboard, screen);
- the services you offer around it (coffee, reception, room setup);
- the floor and location, so nobody goes looking.
Those quotas are counted per resident company, not per person: three employees of the same company share one counter. You can cap a single room, cap all your rooms globally, and grant an exception to one company. The tightest constraint wins.
Once set, the rules work for you. A resident cannot book outside opening hours, exceed their company's quota, or make a booking that overlaps another.
Keep control, or let it go
Two modes coexist, room by room.
On automatic confirmation, the booking is granted the moment it is made. It is the mode that frees up the most time, and the one we recommend for everyday rooms.
On manual approval, the request lands with you and waits. You set a confirmation deadline beyond which an unanswered request stops holding the room. That suits scarce spaces, the auditorium, anything you would rather vet before granting.
Reminders go out on their own
A room booked and never used is a room lost. Synintra sends automatic reminders before each slot, at intervals you choose for each room. The resident gets the reminder, cancels if they are not coming, and the room frees up.
Booking that thinks in companies
This is the deep difference with a general-purpose booking tool, built for employees of a single company.
Synintra thinks in resident companies. Every booking belongs to a company, with its members. You see booking volume per room, and a ranking of the companies using your spaces most. Come the annual review in front of your funding body, that unit of measure changes everything.
Several sites, and shared rooms
If you run several venues, each has its own platform, subdomain and rooms. You can also set up sharing groups: venues that open some of their rooms to each other, without sharing the rest of their data.
What we do not do
Better said here. We have no interactive floor plan where you click a desk: Skedda and Archie do that better. We drive no physical access control, no badges or smart locks. And we do not bill overruns: quotas block, they do not raise an invoice.
The price
€79 excl. VAT per month, per venue, whatever the number of people you host, with a 15-day free trial and no credit card. Room booking is not a separately billed module: the rest of the platform is included in that price.
The details are on the pricing page.
Frequently asked questions
Do our residents have to install an app?
No. The platform runs in a browser, on a phone as well as a computer. Your residents get an invitation link by email and book.
How long to get our rooms online?
Around thirty minutes to create your rooms and their rules, with no training or demo needed. Inviting your residents means pasting a list of addresses, even a messy one: Synintra extracts the emails and never invites the same person twice.
Can we stop one company monopolising a room?
Yes, that is what the hour quotas by day, week and month are for. They apply room by room.
What if nobody approves a request?
On a room set to manual approval, you set a confirmation deadline. Past that deadline, the request stops holding the slot, which becomes bookable again.
Can we book a room in another venue?
Yes, if both venues belong to the same sharing group. You decide.
For the rest of the platform, read the business incubator management software page. To place us against Skedda, Nexudus or Spacebring, we publish a comparison.
